Each booking carries its load. Check-out runs five checks.

At booking, an airplane or an instructor who is already taken is refused, and the load filed with the flight is weighed against that tail's own weighing and handbook. At check-out every check is worked out again, and any one of them can stop the airplane, with the reason and the fix.

What stops a check-out

Weight & balance
Over max gross, a CG outside the envelope, or no weighing on file for the tail.
Performance
A takeoff roll, worked out from the handbook's tables for that field and that hour, longer than the field's longest runway.
Weather
A VFR flight when the field is reporting IFR.
Airworthiness
An open grounding squawk, or an inspection marked as grounding that is past due.
Pilot currency
A pilot flying as pilot in command whose flight review or medical on file has run out.

Anything the gate can't check, like a tail with no handbook or a field with no weather report, shows as review, never as cleared. Passenger, night and instrument currency are flagged for the pilot. Reference only, not an FAA-approved flight manual. The pilot in command makes the go or no-go decision.

Dispatch and billing

Check-in writes the charge. Month-end writes itself.

Check-out takes Hobbs and tach from the aircraft itself. Check-in bills the flight at that aircraft's rate, on Hobbs or tach as you set it, and the charge lands on the member's statement: paid by card, drawn from prepaid block hours, or recorded as cash or check.

Demo flight and rate. The arithmetic is the one check-in runs, at the card rates this server charges.

Card payments add a 2.5% platform fee plus card processing, paid by the member on its own line, so the club nets the full rental. Cash, check and block hours carry no fee. Bank payment (ACH) is coming soon.

  • Each aircraft its own way

    Its own hourly rate, wet or dry, billed on Hobbs or tach. A dry rental that comes back low on fuel is flagged to the managers.

  • Block hours

    Members prepay a block of hours, and check-in draws it down before anything is charged.

  • Statements and the books

    Every member's month exports as CSV, and any month downloads as a transaction journal your bookkeeper can import.

Maintenance that grounds the airplane.

Squawks and inspections live with the aircraft they belong to. When one says the airplane shouldn't fly, check-out won't release it.

  • Squawks from the flight

    Pilots file squawks when they check in. A grounding squawk grounds the airplane until it's cleared in Maintenance.

  • Inspections that count down

    The annual, the 100-hour, the ELT battery: whatever you track, counted on Hobbs, tach or the calendar. One marked as grounding grounds the airplane when it runs out.

  • Shop time on the schedule

    Reserve the airplane for maintenance and nobody can book over it. The same database rule that stops a double-booking holds it.
